How do you keep track of cards and plan AORs? Post your spreadsheet/methods here. Archived From: Finance

I know several people have posted or referenced their own spreadsheets in their AOR threads. But, I did not find any comprehensive listing of spreadsheets or methods. If you're interested in sharing your method, post it here. If not, disregard this thread and it will slowly drift away into oblivion.

I'll go first.
I use a Google spreadsheet with 4 tabs/sheets:
Personal Cards - A place to list all open personal accounts and all important details. This sheet has a column that calculates expected balance transfer profits. That formula could use some work. Currently it takes into account number of months in the BT offer, APR, BT fee, and expected yield on the account where the BT money will earn interest. It does not take into account a BT with anything other than 0% or the declining balance due to monthly payments. The thing I like best is that it calculates % utilization and shows clearly when I'm over 89% on one card or 50% on all.

Business Cards - A place to list all open business accounts and all important details. Same issue with the expected profits on this one.

Credit Profile - last AOR I kept close track things like FAKO score, inquiries, etc. on a daily basis. The plan was to to better learn how various events affect our scores. I grew tired of it after a month or so and never really looked into it in any depth.

New Apps - I plan my new applications here, business and personal on the same sheet

Do me a favor and post any improvements you make. If someone adds a change that horribly disfigures the sheet, we can always use the edit history feature to go back in time to a nicer version.

I will be doing an AOR - my 3rd, so it will be more of a mini AOR, mostly business - and will post a link to the spreadsheet for others to follow the progress, if they wish.

I don't use a spreadsheet. I just called all the banks and changed all the account closing dates to the same date.

Excel sheet with multiple tabs:

Sheet 1.
All cards with balance, limit, and utilization along with overall summary of personal / business utilization.

Sheet 2.
Cash flow by day. Each card has its own column for payments. I keep a daily update of my checking balance and project out two to four weeks at all times. This way I know if I will be short in plenty of time to move money out of HY savings, or if I have a surplus I can move to HY savings. Simplified colums are:

Date Checking Balance Payroll Income Other Income CC1 CC2 CC3 ..... House Car

Sheet 3.
Summary of bonuses, points and Cash Back - just for reference.

I added columns for credit card number, CVC (the 3 numbers usually on back of card) and expiration date.

Still could use some help with that expected profits formula.

Edit: Also added average age (to personal card sheet) and a function that turns the approval field red or green depending on 'approved' or declined'.
Edit 2: Added calculation for total number of cards to the 'New Apps' sheet. If anyone knows how, it'd be nice to add a rule to that calculation so that it could differentiate between personal and business cards based on the 'B' or 'P' in the 1st column.

Maybe I am old fashioned, but I have an index card (one card)

On the card I list each of the BT's and when they are due (in order of their "due date")

Works for me.

I have added a "SimpleAndEffective" tab with my spreadsheet layout. Cards are listed vertically in rows, sorted by due date. I have columns for each month, in which I enter amount due. (I am using Excel and at comment notes with payment confirmation numbers and actual payment amount.) A new bill is marked with yellow, bill payment submitted by orange, and bill payment confirmed by green. This works great! I am also keeping actual balances and utilization % updated.

I am not tracking actual earnings. Just keeping utilization as high as possible (just under 90%) and paying just little over minimum due every month.

Last I night I noticed that Google's added some interesting "gadgets." Maybe they've been there for a while, but I hadn't noticed. In the tab 'Just Testing' I'm playing around with pulling in some of the data from columns on other sheets. Feel free to do the same. As of now I've got a pie chart showing percentage of total credit from each card, a timeline of card opening dates, and a motion chart that displays various credit score metrics. Certainly nothing earth shattering.

It looks like with some imagination the gadgets might provide some informative displays to a personal website or blog. Or maybe - and this is more likely - they're just a fun way to waste away my day.

FatWallet Finance has changed my perspective on everything. My first thought when I read this was, "What's an Index Card - does it have Cash Back - where can I get one?"

I just shared my 3rd AOR, in the planning stages, to the site (must use the fatwallet08@live.com acount). We'll see how this goes. I'm not sure what interest, if any, anyone will have in tracking AORs like this. If you do want to share go ahead and post or share your own spreadsheet with your data. I'm still not completely comfortable posting exact numbers, though.

I use Yodlee Moneycenter (http://moneycenter.yodlee.com) for my AORs and indeed for all of my personal finance. It keeps track of all bank account balances (including CDs, liquid balances, 401K, brokerage accounts, you can even add your Zillowed home value).

For each credit card account, I attach a label to the account that tells me when the 0% expires (which I find out by calling the CC company and asking for the DATE the 0% expires, no, not a formula by which I can calculate the date). So on that one page I can keep the entire AOR straight and just ACH money around as necessary.

Also, Yodlee notifies you when new statements/bills are originated, the minimum payment, and the due date.

I too have all my accounts entered into Yodlee. However I haven't much used it for balance transfer activities... have never used the money transfer or bill pay. While I appreciate how hard it must be for them to monitor a zillion sites for changes to the login process, it really aggravates me when I have to update my login info, sometimes seemingly over and over again. Nevertheless, you've inspired me to take another look at it for this round.

The security risk in storing all of my financial account information to Yodlee Moneycenter has stopped me from aggregating the information there. I use different login names and passwords for each of my accounts, to prevent one lost login/password from causing all accounts to be insecure. Does anyone know anything about the company behind Yodlee? I'd feel better if they were a huge company but I do not think they are publicly traded.
